Introduction

Full details of Orwell Village Hall can be found on this web site. If you need to inspect the hall before booking you can contact the Chairman to arrange a viewing.

You can book the hall in sessions: Morning – 09:00 to 13:00, Afternoon – 13:00 to 18:00 and Evening – 18:00 to 23:00. The Main Hall, together with the kitchen, and the Committee Room can be booked separately, or together. Prices vary according to the rooms used and the timing.

We maintain a Booking Calendar for 2026 and a Booking Calendar for 2027 so you can determine availability for your function. We also provide full details of charges.

If you plan on a major event, especially if you are using the whole premises, Main Hall and Committee Room, you need to check in advance what you have to do and to allow enough time before your booking for set up and after your booking for break down.

You can bring your own equipment to the hall, although we do ask you to specify what it is on your booking form if it is large or in any way hazardous and you must take it home with you after your booking.

We have a variety of facilities available, but if you wish to use the stage lighting or the Audio Visual equipment, you should check with the Committee beforehand.

All bookings are subject to our Terms and Conditions of Hire and the Committee reserves the right to refuse your booking if we think the activity is unsuitable.

Alcohol

We have an alcohol licence available to cover any event in the hall that might sell alcohol. This would include events held by clubs or associations in which alcohol is served, even if it is not sold. A licence is not required if it is a private event and there is no sale of alcohol.

A charge is made for the use of the licence and you must declare on your booking form if you require it. If you use the licence, there are various responsibilities you must fulfil. Basically you must ensure that no one underage is served and that intoxication does not lead to unacceptable or violent behaviour. If you make the booking, you will be responsible for the terms of the licence for which you must familiarise yourself. The terms are fully described in the Terms and Conditions of Hire.

How to Make a Booking

Firstly, consult the booking diary to check that the session you require is available.

Complete a booking form (details below) and forward it to the Treasurer who will acknowledge receipt by returning the form completed with pricing. This will act as your invoice for payment.

Instructions for Using the Booking Form

Complete the booking form and return it. We will then insert the information required and confirm the booking by returning the form to you. It will also act as your invoice for the booking.

When we return the booking form to you it will be allocated a reference. Please use this reference when paying. Also, the code for the keysafe on the front door will be provided, unless your booking is some way in the future, in case we decide to change it. Please get in touch nearer your booking to get the latest code. We have also provided access to the Committee Room (the TOPS Room) via the fire escape door. This enables users of the Committee Room access without disturbing those using the main hall. The door code will also be provided if your booking is in the Committee Room.

If possible, use the Excel version of the spreadsheet as it simplifies the options. If you use the pdf version you will have to complete the sections by hand and scan the finished form before sending it to bookings@orwellvillagehall.com.

Only enter information in the shaded sections. If a section is not relevant to your booking you can just leave it blank.

On the Excel spreadsheet there are notes associated with key sections to help and many of the sections use drop down options.

The booking form allows for one-off and regular repeat bookings.

Do not delete any rows or columns in the spreadsheet.

If this is a personal booking, you do not need to enter an organisation. However, we do ask you to describe the function or activity that you plan to conduct in the village hall. We reserve the right to refuse a booking if we think the activity is unsuitable.

We also ask you to detail any equipment you will be bringing to the hall, again to determine if it is suitable. This is only relevant to sizeable items. If you have any doubts about whether an activity or equipment required might be deemed unsuitable please contact us.

The Options column specifies if you wish to hire the Hall and Kitchen, the Committee Room or both.

The Bar column indicates if you wish to use our alcohol licence for your event, for which there is a charge. Please see details above and in the Terms and Conditions of Hire.

The Session is either Morning, Afternoon or Evening, or any combinations thereof, that make sense.

The Frequency column allows you to specify a repeating booking, such as monthly, weekly, etc, and the End column specifies if that regular booking will come to an end. Ignore this if it is a one-off booking.

Under certain circumstances, we may request that you pay a deposit. If we do we will specify that on the form when we return it to you and you will need to pay the deposit before the booking. If you wish, you may pay the deposit and the booking fee together prior to the booking. If we do request a deposit, please specify on the form the bank account details for refunding the deposit on successful completion of your hire.
